We may collect names, contact details, booking and payment information, family relationships, life histories, memories, funeral preferences, photographs, consultation notes, drafts, approved scripts and correspondence. Website enquiries may include technical data collected by the site and its providers.

Information about a deceased person is not itself personal data under UK GDPR, but information identifying living relatives or contributors remains protected.

We use client information to respond to enquiries, arrange consultations, draft and revise scripts, coordinate funeral services, deliver finished work, administer payment, and handle complaints. Contract or pre-contract steps usually support processing relating to the client; legitimate interests may support necessary communications with family members and funeral professionals, subject to a balancing assessment; legal obligation may apply to financial records.

Where we process special-category information about a living person, such as information about health or religious beliefs, we will only do so where permitted by data protection law. We minimise the information collected and, where appropriate, obtain the individual's explicit consent. Consent from one client does not automatically cover another person.

We may share necessary details with authorised family representatives, funeral directors, and service providers supporting email and the website. Gmail is provided by Google; the website uses GoDaddy.

We do not sell client information. We do not publish private scripts, images or testimonials for marketing without appropriate permission and a lawful basis. International transfers, where applicable, must be supported by lawful safeguards.

Working documents are stored on a dedicated business laptop and correspondence in the company Gmail account. Access is limited to authorised personnel. 

Appropriate security and deletion procedures are used for local files, email attachments, paper records, removable media and any backups.

Traditional funeral consultation notes, questionnaires, drafts, scripts and unnecessary personal correspondence are normally deleted within 30 days after the funeral. Equivalent Living Eulogy material is normally deleted within 30 days after final approval and delivery. Unsuccessful enquiries are normally deleted six months after last contact.

Accounting, contractual and tax records are retained for applicable statutory or justified business periods. Material relevant to a complaint, dispute or legal obligation may be retained longer where necessary, with access restricted. These are company policy periods, not statutory universal deadlines.

We do not provide permanent storage of completed Living Eulogies. Once retained copies are deleted, we may be unable to replace the script.

Depending on the lawful basis and circumstances, living individuals may request access, correction, erasure, restriction, portability or object to processing; consent can be withdrawn where it is relied upon. Contact chameleoncelebrancy@gmail.com. We respond within applicable legal timescales.

Our website, which is hosted using Go Daddy, uses cookies and similar technologies that are necessary for the website to operate correctly.  We use a cookie banner which allows visitors to accept or decline optional cookies.  At present, Chameleon Celebrancy has disabled GoDaddy's Advanced Tracking and does not use Google Analytics.

Our website may use third party services, such as security or website functionality tools, which may use cookies or process limited technical information where necessary to provide their services.  You can manage your cookie choices through the cookie banner displayed on our website.  You can also control or delete cookies through your browser settings. 

We will review our use of cookies and tracking technologies if we introduce additional website services or analytics in the future and will update this Privacy Policy where necessary.

Privacy concerns can be raised with us by email. Individuals may complain to the Information Commissioner’s Office at ico.org.uk. This notice will be updated when services, systems or legal requirements change.

The Living Eulogy service prepares only the client’s personal eulogy for potential use at a future funeral. It does not include creating the full ceremony, arranging music or readings, or conducting the funeral.

Clients should avoid sharing unnecessary sensitive details about living relatives or other third parties. If we make an audio recording of a consultation, we will explain this beforehand and the purpose for which it will be used. Recordings will be deleted promptly once transcription and checking are complete.

The normal 30-day deletion period begins once the client has approved the final eulogy and the printed and PDF versions have been delivered. Working copies held in Gmail and on our business devices will then be deleted in accordance with our retention procedures. Data contained within secure system backups may remain until those backups are routinely overwritten or deleted.
